Position Objectives

The Public Affairs Associate is responsible for working closely with Senior Manager, Public Affairs to provide high-level administrative and executive support for the Executive Vice President of Public Affairs and office management support.

Public Affairs’ Mission is to inspire and activate a diverse, influential audience that is invested and empowered to contribute to the conservation of wildlife and wild places. We do this through impactful communications and advocacy advancing WCS’s science, field work in nearly 60 countries around the world and its five zoos and aquarium in New York City. We forge valuable relationships and partnerships with governments, communities, the private sector, and NGOs; and by sharing information resources including the historic record of WCS’s 125+ years of leadership in wildlife conservation and zoological expertise.

Principle Responsibilities

Executive Vice President Support the Public Affairs Associate will assist the Senior Manager in providing general administrative and executive support to the Executive Vice President including:

Assist Senior Manager with heavy calendar management, requiring interaction with both internal and external executives and assistants, ensuring up to date information, preventing meeting conflicts, and allowing sufficient travel time for offsite meetings

Arrange meetings as requested by EVP, coordinating availability with meeting participants, which may include internal staff, external agencies/vendors, and
Board of Trustees members and their executive assistants. Arrange meeting rooms, teleconference information, food and beverage service, A/V set up and other logistics as required

Collect, prepare and distribute meeting materials, presentations. Record meeting minutes as needed

Receive and greet guests and visitors

Assist with EVP domestic and international travel arrangements including transportation, lodging, registration fees, visas, etc., and any other travel requirements

Assist EVP in preparation of presentation materials, correspondence and reports
Draft and edit correspondence

Prepare and distribute outgoing correspondence including mass mailings, letters, faxes and emails

Maintain and update EVP contacts database

Manage electronic and hard copy filing system and file materials Implement projects at request of EVP

PA Operation

Onboarding new PA staff

Time sheets submissions and reconciliation with payroll

Accrual reporting on bi- annual basis to all employees

Arrange PA monthly meetings including speakers, Zoom, room arrangements

Maintain PA calendar

PA executive and group travel arrangements

Order office supplies and equipment and maintain inventory

Zoom oversight

Beebe Room management

Events

Organize VIP tours

Support GACA and other PA events and tours as needed

Manage cart maintenance and calendar

Drive carts

Education and Pre-requisites

Bachelor’s degree in political science, humanities, communications or related field preferred

Minimum of three years administrative assistant experience

Excellent written and oral communications skills

Strong project management and organization skills and ability to work in teams

Availability for after-hours and weekend events required

Proficiency Microsoft Office/Teams and Google Drive; Salesforce competence a plus

Compensation and benefits

Salary Requirements: $50,000 – $60,000
